SimpleOrch is developed and operated by MW Consulting, a software company based in the United States. When this policy refers to "SimpleOrch," "we," "us," or "our," it means MW Consulting and the SimpleOrch product.

This Privacy Policy applies to the SimpleOrch website at simpleorch.io, the SimpleOrch licensing portal, and any communications we send to you. It does not apply to the SimpleOrch software you deploy on your own infrastructure — that software operates entirely within your environment.

02 // Information We Collect

We collect information in the following ways:

Account Registration

• First and last name
• Work email address
• Company name and job title
• Information you provide in registration forms, including infrastructure details such as node count and current orchestration tooling

License Portal Activity

• Installation UUIDs you register to your account
• License tier and node count associated with your account
• Timestamps of license token generation and download events
• Serial number additions, removals, and replacements
• License upgrade and downgrade history

Website Usage

• Standard web server logs including IP address, browser type, referring page, and pages visited
• Information submitted through contact or interest forms on this website

03 // What We Do Not Collect

We do not collect:

• Details about your containers, workloads, or deployments
• Server hostnames, IP addresses, or infrastructure topology
• Application logs or performance metrics from your nodes
• Any data processed by applications running inside your containers
• Payment card numbers or banking information (payments are processed by Stripe; we do not store card data)

04 // How We Use Your Information

We use the information we collect to:

• Create and manage your SimpleOrch portal account
• Generate, validate, and deliver license tokens
• Process billing and send renewal notifications
• Provide customer and technical support
• Send product updates, release announcements, and security notices
• Gauge interest in the product and prioritize feature development
• Monitor licensing portal activity for abuse detection and account security
• Comply with legal obligations

We do not use your information for advertising, and we do not sell or rent your personal data to third parties.

05 // License Portal Logging

We maintain detailed logs of licensing portal activity for the purposes of account security, abuse detection, and customer support. These logs record events such as token generation, serial number registration, and license changes, along with timestamps and the account associated with each action.

This logging helps us identify unusual account activity — for example, unusually frequent license regeneration — so we can follow up if necessary. We do not use this data for any purpose other than account management and security.

Log data is retained for a period of two years and is accessible only to MW Consulting staff.

06 // Third-Party Services

SimpleOrch uses the following third-party services to operate the website and portal. Each service has its own privacy policy governing how they handle data.

• Stripe — Payment processing. Stripe handles all payment card data. We do not store card numbers. See stripe.com/privacy.
• Zoho — Contact and registration forms. Information submitted through forms on this site is processed by Zoho. See zoho.com/privacy.html.
• Cloudflare — Website hosting and content delivery. Cloudflare may process web request data as part of its service. See cloudflare.com/privacypolicy.
• Google Fonts — Typography. Font files are loaded from Google's servers. See policies.google.com/privacy.

We do not share your personal information with any third party beyond what is necessary to operate the services listed above.

07 // Data Retention

We retain your account and licensing data for as long as your account is active. If you close your account, we will delete your personal information within 90 days, except where we are required to retain it for legal or billing purposes.

License portal activity logs are retained for two years regardless of account status, for security and audit purposes.

Interest form submissions collected prior to product launch are retained until you request deletion or unsubscribe from communications.

08 // Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated personal data
• Opt out of marketing communications at any time via the unsubscribe link in any email we send
• Request a copy of your data in a portable format

09 // Security

We take reasonable technical and organizational measures to protect your information. The SimpleOrch licensing portal uses HTTPS for all communications. License tokens are cryptographically signed and validated locally on your infrastructure, reducing the attack surface associated with server-side license validation.

No method of transmission over the internet is completely secure. While we work to protect your personal information, we cannot guarantee absolute security.

10 // Children's Privacy

SimpleOrch is a business-to-business infrastructure product intended for use by IT professionals and organizations. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

11 // Changes to This Policy

We may update this Privacy Policy from time to time as the product evolves. When we make material changes, we will update the "Last updated" date at the top of this page and notify registered users by email. Continued use of SimpleOrch after changes are posted constitutes your acceptance of the updated policy.
